Administrative Service Assistant
Our client, a leading Pacific Northwest utility provider committed to public service and environmental preservation, is looking for an Administrative Services Assistant with experience in providing administrative support for programs, projects and overall office functions for their Portland, Oregon location. This person provides a wide variety of professional and confidential administrative/clerical tasks as well as data entry and tracking.

Pay Rate or Range: $24.00 – $27.50/HR
Location: On-Site in Portland, OR
Key Responsibilities for Administrative Services Assistant:
- Provide confidential administrative support and serve as liaison between the enrollment center and US Access, facilitating communication and actions. Responsibilities include:
- Answer calls, greet visitors, address inquiries, and refer visitors as needed.
- Track US Access actions and appointments for timely response.
- Sort, distribute, and prepare credentials for mail shipment.
- Assist with rescheduling appointments.
- Perform scanning, faxing, photocopying, and other administrative tasks for US Access processes.
- Maintain and update desk reference manual.
- Perform data entry using US Access, Microsoft Office, SharePoint, HRMIS, and other systems.
- Act as point of contact for personnel security and US Access inquiries.
- Maintain filing systems, records, and ensure compliance with security standards.
- Keep electronic and hard copy records of training, timecards, safety meetings, and contractor timesheets.
- Assist with software applications and provide backup support to other administrative assistants as needed.
- Complete required training for US Access roles and handle enrollment, fingerprinting, and card activation appointments.
Requirements for Administrative Services Assistant:
- High School Diploma or GED is required.
- Associate or bachelor’s degree in Secretarial Science, Administrative Management, or a related telecommunications field is preferred.
- 3 years of administrative experience is required.
- SharePoint experience sufficient to support, edit, and maintain sites by creating document repositories, workspaces, libraries, lists, views, etc.
- Moderate experience with Microsoft Office Suite of programs such as Word, PowerPoint, Excel, and Outlook.
