Administrative Service Assistant
Our client, a leading Pacific Northwest utility provider committed to public service and environmental preservation, is looking for an Administrative Services Assistant with experience in providing administrative support for programs, projects and overall office functions for their Vancouver, Washington location. This person provides a wide variety of professional and confidential administrative/clerical tasks as well as data entry and tracking.

Pay Rate or Range: $27.00-$30.00/HR
Location: Hybrid in Vancouver, WA (onsite 2 days per week)
Key Responsibilities for Administrative Services Assistant:
- Provide confidential administrative support to managers and staff, including acting as a liaison between departments, facilitating communication, and assisting with day-to-day operations.
- Greet visitors, answer phone calls, take messages, and set appointments.
- Process and screen incoming and outgoing correspondence, ensuring accuracy, proper formatting, and timely responses.
- Organize and schedule meetings, conferences, and training sessions, handling logistics and preparing materials such as agendas and meeting notes.
- Assist with employee actions such as assignments, training completion tracking, performance appraisals, and personnel file maintenance.
- Coordinate travel arrangements for managers and staff, including booking flights, accommodations, and preparing travel documentation.
- Assist with time and attendance management, including reviewing and verifying time reports and leave calendars.
- Provide support to various departments (HR, IT, Facilities, etc.) by coordinating office supplies, computer and hardware requests, and other administrative needs.
- Maintain databases and filing systems, ensuring compliance with security and privacy requirements.
- Participate in team meetings and support process improvements within the administrative functions.
Requirements for Administrative Services Assistant:
- High school diploma or equivalent required.
- Associate or bachelor’s degree in secretarial science, administrative management, or related field preferred.
- 4 years of demonstrated administrative/clerical experience required.
- 4 or more years of relevant work experience in administrative support functions with Microsoft Office Suite programs such as Word, PowerPoint, Excel, and Outlook required.
- Working knowledge of SharePoint or similar system preferred.
- Valid U.S. Driver’s License required.
- Access to the ePerformance system required; may be designated as a proxy to assist the manager in completing documentation for employee performance reviews.
