Development Coordinator
Our client, a local non-profit organization focused on delivering excellent, equitable education to underserved children, their families, and their communities, is looking for a Development Coordinator to join their Portland, OR. team.
Type: Contract-to-Hire
Duration: 6-months
Payrate: $25.00 – $28.75, DOE
Location: Portland, OR – ONSITE
Responsibilities of Development Coordinator:
- Coordinate tracking of new grants by entering pertinent information in grants spreadsheet and completing grants calendar and calendar invitations.
- Coordinate collection of information for grant reports and compile them into report form for review.
- Maintain DonorPerfect database including responsibility for data entry, integrations with online giving platforms, data clean-up and records updates, and reporting.
- Coordinate monthly gifts and in-kind reconciliation with Bookkeeper/create monthly reports.
- Coordinate and troubleshoot donor records for improved donor segmentation.
- Request and send invoices, create, and manage contracts and track and follow up for timely execution.
- Track and follow up with unpaid sponsorships, pledges, event ticket sales, etc.
- Serve as primary administrative support for annual Spread the Love gala, maintaining spreadsheets, sponsor and guest management, registration, website links, QR codes, payment management, post event data management, and serve as guest registration staff liaison.
- Create special reports, studies, summaries, and analyses as required.
- Manage the timely preparation of donor and supporter related correspondence, thank you letters, and phone or email follow-up with donors as needed.
- For all events, coordinate both in advance and for the day of the event with vendors, guests, and relevant staff.
- Depending on the event, create collateral materials (Nametags, bid cards, guest lists, and seating assignments). This may include hosting, tracking RSVPs, requesting bids, managing attendee registration.
- Provide support to the Manager- Development when needed, by scheduling regular meetings, securing meeting rooms, preparing agendas, taking minutes, and making copies for attendees.
- Serve as the Department Purchasing Coordinator.
- Support development communications including MailChimp campaigns, USPS mailings, social media content, annual report, brochures, website, and press releases.
- Track and report social media analytics.
- Oversee the maintenance and creation of mailing lists (print and digital).
Requirements of Development Coordinator:
- Bachelor’s degree or equivalent professional experience.
- Minimum of 3 years of professional experience required.
- At least two years of fundraising/development experience (paid or unpaid) or related experience required.
- Experience managing data entry and report generation with a CRM or donor database system.
- Strong communications skills with internal staff, external corporate partners, donors, funders, volunteers, and vendors.
- Agility to work across multiple, simultaneous projects and meet deadlines with attention to detail and deadlines.
- Excellent organizational, analytical, and problem-solving skills.
- One year of relevant experience working with children from diverse racial and cultural backgrounds.
- Experience working with children ages 5 to 11, preferred.
- Proven work experience as an administrative coordinator or similar role.
