We are working with a local organization/foundation who partners with nonprofit organizations in the Oregon/Washington communities to support and empower them financially, creatively, strategically, and more! They are looking for an experienced Grant Operations Coordinator for their Wilsonville, OR. office. The Grant Operations Coordinator ensures the effective, timely, and integrated operations of their grantmaking systems and processes. Through the management of the grant database and application programs, the coordinator works to integrate all stages of the funding cycle, between application, evaluation, voting, funding, and stewardship. Ultimately, the Coordinator plays a critical role in developing and accessing Foundation efficacy and accessibility for all partners, team members, and board members. Type: Direct-Hire!
Pay: $36.00 – $40.38/hr. DOE.
Location: Wilsonville, Oregon.
Work environment: Hybrid, 3-4 days onsite a week.

Responsibilities of Grant Operations Coordinator:
- Develop and maintain advanced knowledge of Foundant (grant management software), serving as primary lead for all software-related needs, questions, and/or trainings
- Leverage existing processes to improve data collection and reporting, with demonstrated competency in report extraction and data synthetization
- Edit, manage, assess, and improve existing and new grant processes to eliminate redundancy.
- Edit, manage, and carefully track all automated processes, including automated communications, partner notifications, and/or form generations
- Develop creative processes and tracking mechanisms within Foundant for grant payment and process notification, especially for gifts, multi-year awards, and matching awards
- Support team members and partners with training, troubleshooting, and accessibility/accommodation needs
- Monitor all processes and submissions, communicating and documenting overdue and/or outstanding action pertaining to application evaluation, voting, reporting, and follow-ups
- Communicate and manage system changes that may impact active or incoming grant proposals
- Manage proposal evaluations and enforce Program Officer submission deadlines
- Collaborate monthly with Officer Coordinator to export and publish evaluations for Board of Trustees review
- Process approved gift and grant decisions for payment, including the addition and communication of necessary contract or agreement amendments or specifications
- Conduct program accessibility assessment and implement improvements to include language, visual, and technological accommodations for nonprofit partners (including program translation and alternative proposal submission strategies)
- Collaborate often with and support Strategic Partnerships team and Office Coordinator to maintain a timely, organized, and efficient execution of evaluation, award, and stewardship
- Works in close collaboration with Foundation leadership, especially Director of Team Operations, to implement grantmaking strategy and operational improvements
- Attend trainings and/or professional development opportunities that enrich relevant skills and target areas for further learning
- Attend weekly all-staff and supervisor meetings
- Be able to learn and continue to build upon foundation of knowledge to become an expert in field
Qualifications of Grant Operations Coordinator:
- Six (6) or more years in professional work environment with increased responsibility
- Demonstrable ability to learn and build advanced competency/mastery around grant-maker software, including but not limited to Foundant (our current program)
- Inclusive and welcoming approach, with demonstrable skills and experience engaging within and across cultures
- Mission-driven team player, able to collaborate with colleagues and external constituents
- English language proficiency, with additional language proficiency welcomed
- Adaptive and flexible mindset, eager to welcome change and growth with the Foundation
- Ability to work on-site 3-4 days/week in Wilsonville, Oregon
Preferred qualifications:
- Bachelor’s degree from accredited college or university (or equivalent credentials)
- Experience working with non-profit organizations either through volunteering or work experience (Foundation experience ideal)
- Experience with Foundation or comparable grant program (ideal, not expected)
