Our client, a leading Pacific Northwest utility provider committed to public service and environmental preservation, is looking for an Administrative Technician for their North Bend, Oregon location. This position carries out recurring office procedures and is in a small, close-knit office environment onsite. Successful candidates will be well-organized, have a strong attention to detail, can multi-task well and must possess strong people skills.

Responsibilities of Administrative Technician:
- Performs data entry using multiple computer applications, such as Microsoft Office, Asset Suite, PeopleSoft, Concur (Government travel service), Microsoft SharePoint, etc. May enter inventory management data, vehicle mileage, training, travel, pen base program, utility bills, etc.
- Verifies group/organization timekeeping is accurate.
- Prepares travel authorizations and arrangements for management and staff travel using on?line systems such as Concur etc. as required, following established policy and process. Prepares travel vouchers following established process using on?line system, entering data from staff daily work reports and other communication.
- Performs data entry for materials requests, invoices, and P-card transactions, including:
- Performing data entry in accordance with the MPP Manual.
- Requesting clarification or additional documentation from the card holder if there is a discrepancy or if incomplete information is received.
- Contacting the cardholder and Approving Official if an unexplained or unidentified charge appears on the statement.
- Answers telephone calls and responds to routine telephone requests that have standard answers; refers calls and visitors to appropriate management and staff.
- Sorts and distributes incoming mail; prepares outgoing mail, including bulk mailing packages.
- Maintains calendars, makes appointments, and arranges for meeting rooms.
- Receives and processes requests for spare parts in stock following established process; sends to appropriate field sites.
- Orders or assists in ordering material and arranges for delivery to field sites.
- Serves as point-of-contact and resource for district or other office personnel.
- Coordinates and assists manager with development of annual managers’ and employees’ performance appraisal plans; implements, oversees, and completes related documentation.
- Schedules and tracks to completion all managers’ and employees’ progress reviews while performing associated follow-up to obtaining requisite signatures and approvals.
- Takes minutes for various district meetings.
- Maintains filing system(s), files, emails, and records in accordance with compliance requirements. Files and disperses documents/letters only to appropriate personnel. Maintains all official records in accordance with the Information Governance & Lifecycle Management (IGLM) and Information Security (INFOSEC) standards and procedures. Validates official records are accurately maintained for auditing purposes.
Requirements of Administrative Technician:
- High School Diploma or GED is required.
- 3 years of related administrative/customer service experience or equivalent combination is required.
- Well qualified typist, skill in using Microsoft Office Suite of products, and skill in operating common office equipment.
- 2 years of relevant work experience in administrative support functions.
- Working knowledge of SharePoint (Preferred).
