Our client is a Portland-based non-profit organization who aims on delivering excellent, equitable education to underserved children, their families, and their communities. Their mission is to eliminate prolific racial achievement and opportunity gaps by developing confident, creative, compassionate leaders through their charter school and programs. Duration: 6-month, contract to hire!
Location: Portland, Oregon (After 60 days, possibility of hybrid work model.)
Schedule: M - F / 8 to 4:30PM or 8 to 5:00PM

Responsibilities of the Executive Assistant:
- Manage overall administrative functions, coordination, and process for Chief Administrative Officer (CAO).
- Responsible for answering phones, checking multiple emails, checking voicemails, and returning calls.
- Support any ongoing projects including managing and scheduling meetings/appointments, copying, scanning, collating, mailing, booking conference room.
- Maintain CAO appointment calendar, including making appointments and prioritizing the most sensitive matters.
- Manage planning and scheduling meetings, conferences, teleconferences, and travel.
- Produce information by researching, transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
- Conserve CAO's time by reading, researching, and routing correspondence drafting letters and documents; collecting and analyzing information; initiating telecommunications.
- Provide executive assistance, such as writing and editing emails, drafting, and preparing documents, drafting communications.
- Manage information flow in a timely and accurate manner.
- Responsible for coordinating meetings, taking meeting minutes, record keeping and meeting follow-up.
- Perform minor accounting and bookkeeping duties.
- Process all internal purchase authorizations, check requests, contracts, and agreements for CAO via electronic signature platform.
- Provide historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions and details that pertain to key stakeholder relationships.
- Responsible for researching and obtaining information and ensuring the CAO is aware of pertinent information.
- Research topics relevant to appointments/meetings.
- Research individuals/companies/businesses the CAO is either unfamiliar with and/or hasn’t met with previously and forward pertinent information to the CAO.
- Support the management and tracking of information in multiple databases.
- Point of contact among employees, families, clients, and other external partners.
- Maintain confidence and protect operations by keeping information confidential.
- Assist in creating and distributing newsletters /communications to staff & board members.
Qualifications for the Executive Assistant:
- Two (2) years Executive Assistant experience, or relevant education/coursework.
- One year experience working in office, nonprofit, and/or community organization setting.
- Demonstrated knowledge of nonprofit fundraising and event planning required.
- Agility to work across multiple, simultaneous projects and meet deadlines with attention to detail and deadlines.
- Excellent organizational, analytical, and problem-solving skills.
- Excellent written and verbal communication skills.
- Highly proficient in Microsoft Excel, PowerPoint, and Word.
- Commitment to culturally relevant practices.
- Experience working with diverse populations, specifically people of color.
- Current CPR First Aid Certificate required – may complete course during onboarding.
- Current Food Handlers Card and CPR/First Aid Certificate required – may complete course during onboarding.
