ABOUT THE SPECIAL ASSISTANT TO CEO POSITION:
Come join us as the Special Assistant to the CEO and Operations Specialist as we continue to build this new venture. This role will primarily provide high-level administrative support to the CEO daily with some support to office operations. Reliability, attention to detail, and a “get-it-done” mindset are key attributes to success in this role within our start-up environment.

ABOUT THE SPECIAL ASSISTANT TO CEO POSITION:

ESSENTIAL RESPONSIBILITIES OF THE SPECIAL ASSISTANT TO CEO:
Administrative Management
- Manage complex and dynamic calendars; act as a gatekeeper for the CEO’s schedule to protect her time and priorities.
- Screen incoming executive communication (e.g., phone calls, emails, mail, and visitors).
- Conserve the CEO’s time by reading and routing emails, preparing materials, collecting, and analyzing information, initiating meetings, and resolving information requests.
- Draft complex and/or confidential correspondence, handling information and materials with sensitivity and discretion.
- Schedule and coordinate meetings to including the CEO’s travel, lodging, dining arrangements, and meeting space as needed.
Board Management Support
- Assist CEO in Board Management and Platforms including managing the board meeting calendar, leading the production of board materials, tracking board priorities and to-dos, and coordinating with executive administrators of board members, as necessary.
- Attend Board meetings, taking notes and preparing board minutes.
- Edit documents and presentations as needed; prepare materials and communications for the internal and external stakeholders.
- Event planning, including coordination and management of on-site/offsite meetings and events.
Office Management
- Administrative support for office operations (e.g., prepare paperwork related to invoicing and vendor payments, notarize documents, filing, etc.)
- Interface with vendors and outside contractors.
- Manage office conference rooms and conference facility calendar.
EDUCATION AND PROVEN KNOWLEDGE OF THE SPECIAL ASSISTANT:
- 5 years of administrative or project management experience, demonstrated through work, school, or volunteer activities.
- Prior experience as an executive assistant required; experience as a C-suite level executive assistant preferred.
- Demonstrated initiative-taking (e.g., regularly anticipating the needs of an executive).
- Ability to work independently to solve problems and proficient at optimizing systems/tools for routine duties.
- Strong relationship management skills.
- Proven experience with Google Suite and complex calendaring.
