Production Coordinator (ONSITE)

Our client, a leading Pacific Northwest utility provider committed to public service and environmental preservation, is looking for a Production Coordinator for their Vancouver, Washington location.  This full-time contract Production Coordinator position supports the scheduling and coordination of fabrication and specialty services for a dynamic operations team within a large utility or infrastructure organization. The role plays a key part in facilitating project orders from initial request through final delivery, ensuring alignment with construction and maintenance timelines. Utilizing production scheduling software, the coordinator helps manage daily workloads and provides timely updates on project status and progress.

This position is a one-year renewable contract that includes employee benefits! 
Pay Rate or Range: $33.00 - $36.00/hr. DOE
Location: Vancouver, WA. (ONSITE)

Key Responsibilities of Production Coordinator:
  • Schedule production runs to meet internal customer delivery requirements using a computerized scheduling system.
  • Provide customer service support by assisting with job requests and order entry.
  • Coordinate with supervisors and management to develop schedules for production requests and order processing.
  • Ensure parts are produced and delivered on time by aligning schedules with equipment availability and workload projections.
  • Collaborate with appropriate personnel to schedule shop equipment and maintain documentation for accurate reporting and trend evaluation.
  • Create and maintain schedules that optimize equipment and personnel utilization.
  • Communicate with shop supervisors and vendors as needed to support reporting and evaluation activities.
  • Present schedules in planning meetings and distribute updates to relevant team members.
  • Process purchase orders, shop requests, and customer inquiries in accordance with established processes and procedures.
  • Enter customer orders into the system, regardless of how received (e.g., fax, email, phone, or digital platform).
  • Provide estimated processing and delivery timelines based on production plans.
  • Coordinate and verify on-time delivery while promoting effective equipment and process utilization.
  • Create work orders based on customer needs and specifications.
  • Assist with the development of Requests for Quotes (RFQs) for raw materials required for scheduled jobs.
  • Update production systems with material order status.
  • Confirm requested materials are appropriate and available; recommend substitutes, when necessary, through research and collaboration.
  • Prepare production and cost estimates for specialized fabrication projects, ensuring all supporting documentation is entered into the scheduling system.
  • Maintain prioritized job lists and confirm raw material availability.
  • Monitor work in process (WIP), update production schedules daily, and factor in transportation and vendor timelines to ensure on-time delivery.
  • Manage production request inbox and process incoming work requests.
  • Review documentation, drawings, and bills of materials for accuracy and completeness.
  • Calculate material needs and obtain input from foremen on production time.
  • Generate daily task lists for review by supervisors and managers to support scheduling and prioritization.

Requirements/Qualification for Production Coordinator:
  • High school diploma or GED required. BA degree preferred!
    • Must have completed at least 24 semester hours in any combination of the following disciplines: Accounting, Business, Finance, Law, Contracts, Purchasing, Economics, Industrial Management, Marketing, Quantitative Methods, or Organizational Management.
  • 5 to 10+ years of hands-on experience in production coordination or control, with proven expertise in scheduling, process development, and workflow execution.
  • 3+ years of proficiency using: MS Project, MS Office Suite (Excel, Word, Outlook), and Microsoft Access.
  • 3+ years of experience working with production scheduling software; E2 Shoptech Software preferred.
  • 5+ years of working knowledge in shop floor operations, including Welding, Machining, Sheet Metal, and Coatings, along with demonstrated project control experience.
