PS - Executive Scheduler
Our client is a Portland-based non-profit organization who aims on delivering excellent, equitable education to underserved children, their families, and their communities. Their mission is to eliminate prolific racial achievement and opportunity gaps by developing confident, creative, compassionate leaders through their charter school and programs. They are looking to bring on a dedicated Executive Scheduler.
Pay: 20.00 – 22.00 Per Hour

Executive Scheduler Core Responsibilities
- Manage all scheduler for the Executive Director
- Coordinate and confirm all meetings for Executive Director
- Set up all virtual platforms for connection and researches all necessary details to make the appointment/meeting a success.
- Initiate meeting coordination
- Email prospective virtual meeting attendees and provide dates/times of availability to meet either by phone or Zoom
- Coordinate with other schedulers to ensure requested meetings are calendared.
- Promptly respond to meeting requests
- Call and email as necessary to maintain positive relationships and partnership with key
leaders in the public/private/non-profit schedule
- Check emails throughout the day - respond to requests for meetings via email
providing potential dates/times for requests
- Send email at the end of the week prior to the calendared meeting, confirming
attendance of invitee
- Prepare Daily Meeting Agenda
- Prepare meeting agenda for meetings ED facilitates
- Prepare weekly/monthly calendar
- Update calendar with meetings, events, staff birthdays and birthdays of
committee members ED facilitates
- Ensure any conflicts of meetings added to the calendar are immediately brought
to the attention of the Executive Director
- Coordinate dates/times with those participating in meetings, schedule Zoom and
ensure Zoom invite has been received
- Create and fill out doodle polls as necessary
- Fill-out Doodle polls for meeting requests based on calendar availability
- Respond to requests for meetings within 24 hours
- Responsible for researching and obtaining information and ensure the ED is
aware of pertinent information
- Research individuals/companies/businesses the ED is either unfamiliar with
and/or hasn’t meet with previously and forward pertinent information to the ED
Required Qualifications
- Proven work experience in events coordination or similar role;
- Experience tracking systems and managing data
