Our client, a leading Pacific Northwest utility provider, is seeking a contract Administrative Services Assistant for their Portland, Oregon location. The position supports the Facilities Planning and Projects Department, coordinating administrative processes to ensure efficient performance of programs, projects, and office functions. Key tasks include action-item tracking, cross-organizational communication, time and attendance management, travel authorizations, and procedural oversight, along with emerging non-routine tasks. The ideal candidate is an organized problem-solver skilled at handling shifting priorities and tight deadlines with professionalism and tact. Pay Rate: $30.00 – 35.00
Location: Portland, Oregon – HYBRID, Minimum 2-days Onsite
Key Responsibilities for Senior Administrative Assistant:
- Perform a wide range of confidential administrative tasks for managers and staff, including scheduling, correspondence management, and document preparation.
- Greet visitors, manage phone calls, and handle inquiries based on established policies.
- Create, edit, and proof documents, presentations, and spreadsheets using Word, Excel, PowerPoint, and SharePoint.
- Manage action-item tracking, ensure timely compliance with deadlines, and coordinate responses to time-critical documents.
- Coordinate travel arrangements, process authorizations, and vouchers, and manage time and attendance reporting.
- Provide administrative support for meetings, including scheduling, preparing agendas, and recording minutes.
- Assist with HR-related activities, such as onboarding, training, and tracking employee engagement and recognition efforts.
- Support managers in maintaining performance documentation and personnel records, including performance appraisals, and tracking training completions.
- Ensure smooth office operations by managing office supplies, equipment, and IT requests.
- Oversee organizational SharePoint sites, maintain record-keeping systems, and ensure compliance with documentation standards.
- Serve as a liaison between internal teams, facilitating communication and supporting contract management activities.
Requirements for Senior Administrative Assistant:
- High school diploma or equivalent is required.
- Associates Degree in Secretarial Science, Administrative Management or related field is preferred.
- 6 years of demonstrated administrative/clerical experience is required.
- 4 or more years of relevant work experience in administrative support functions with Microsoft Office Suite programs such as Word, PowerPoint, Excel, and Outlook (Microsoft Office 2010 proficiency required).
- Working knowledge of SharePoint or similar system is preferred.
