Workplace and Transportation Services Coordinator
Our client, a leading Pacific Northwest utility provider committed to public service and environmental preservation, is looking for a Workplace and Transportation Services Coordinator for their Portland, Oregon office. In this role, you support various service programs within the Business Operations & Services team. Key duties include managing GSA vehicles, coordinating alternative commuting options like carpooling, parking, and mass transit programs, and providing office supply support. You’ll also help schedule and manage WebEx, video conferences, and conference rooms, overseeing services for over 1,2000 employees and 200 conference rooms.

Pay Range: $38.00/HR-$40.00/HR
Location: Portland, OR (Onsite 3 days per 2-week pay period)
Key Responsibilities for Workplace and Transportation Services Coordinator:
- Serve as the primary technical expert and point of contact for assigned areas, providing guidance in the absence of program managers.
- Conduct self-audits, monitor goals, and recommend improvements for process efficiency.
- Assist with project management and service delivery improvements for Workplace Services.
- Provide training and support to Workplace Services staff.
Reporting and Analysis:
- Develop process solutions to enhance Workplace Services efficiency.
- Gather and compile data related to motor pool usage, commuting programs, and conferencing services for reporting purposes.
- Analyze data to identify trends, inefficiencies, and areas for improvement. Provide actionable insights and recommendations to enhance service delivery.
- Develop and propose process improvements based on data analysis, leveraging industry best practices to increase operational efficiency and effectiveness.
- Prepare and present reports to management, summarizing findings and recommendations to support informed decision-making and strategic planning.
Conferencing Services:
- Support WebEx, video conferencing, and conference room scheduling.
- Inspect and maintain GSA vehicles, ensuring they meet operational and safety standards.
- Manage motor pool services, including vehicle assignments, inspections, and maintenance scheduling.
- Assist with troubleshooting conference room equipment and technical support for meetings.
Commuting Services:
- Support parking, transit, and commuting programs, handling registrations and participant support.
- Maintain records for parking and transportation programs.
- Collaborate with local transit authorities for program coordination.
- Administer the organization’s e-bike program, issuing electric bikes for business-related travel and providing operating instructions. Ensure safety standards are met by supplying helmets and reflective vests and inspect bikes after each use. Schedule regular maintenance to keep the bikes in safe, working order.
Motor Pool Services:
- Vehicle Management: Oversee the assignment, dispatch, and maintenance of motor pool vehicles, ensuring they are clean, fueled, and in optimal working condition. Conduct regular inspections and schedule preventive maintenance.
- Usage Tracking: Maintain accurate logs of vehicle usage, including mileage and fuel consumption. Analyze data to optimize fleet utilization and recommend cost-saving measures.
- Repair and Compliance: Handle vehicle repair coordination and ensure compliance with GSA guidelines. Review damage reports, manage repair processes, and ensure vehicles meet safety and regulatory standards.
- Customer Support: Provide support to employees using motor pool services, including vehicle reservation management, key control, and operational guidance. Address any issues related to vehicle use and ensure proper documentation.
Requirements/Qualification for Workplace and Transportation Services Coordinator:
- High school Diploma or GED equivalent is required.
- 10 years of experience specific to on or more of the following areas: E-bike support, Motor Pool Services, Conferencing Services, Commuting Services or Reporting & Analysis.
- Demonstrated experience successfully working in demand driven environments.
- Customer support skill sets (customer facing, phone, Outlook and virtual).
- Demonstrated skills in juggling requests, spanning across numerous services (flexibility).
- Demonstrated experience in dispatching vehicles, reserving conference rooms or virtual meetings, supporting alternative commuting and parking programs.
- Understanding of computer operation and basic connectivity troubleshooting.
- Basic understanding of cohosting virtual meetings (WebEx).
