Program Support Specialist
Our client, a leading Pacific Northwest utility provider committed to public service and environmental preservation, is looking for a Program Support Specialist for their Vancouver, Washington location. This position will work in conjunction with management to provide contract documentation and process change training and will help facilitate workload priorities with guidance provided by the Account Service Manager. This position will also support the Account Executive and Account Services teams to achieve annual program and organizational initiatives, customer satisfaction targets and contract compliance. Location: Hybrid in Vancouver, WA (3 days onsite per two-week pay period)

Key Responsibilities for Program Support Specialist:
- Serve as main point of contact for formatting assistance to Account Specialists and Account Executives.
- Review contract cover letters and agreements for consistent formats and compliance.
- Conduct quality assurance checks on draft and approved contracts.
- Assist with contract drafting as needed, with AS reviewing internally.
- Add electronic signature capability to finalized contracts.
- Send complete final packages to signing authorities.
- Manage email correspondence and contracts from customers.
- Organize the outbox, checking for read and delivery receipts.
- Track delivery receipts for electronic and FedEx packages.
- Process returned agreements from customers.
- Update the Commercial Business System Administration with contract dates.
- Save and store ATC authorizations on the shared drive.
- Prepare the bi-weekly Transmission Sales report using data from AEs.
- Assist in drafting and finalizing process documents, obtaining management approval before finalizing.
- Collaborate with AS and AEs to correct document anomalies for electronic signature.
- Provide editing assistance to AS, Customer Contract Support, and other teams as needed.
- Serve as primary point of contact for contract document questions.
- Coordinate meetings for the creation and maintenance of long-term contract templates.
- Upload and revise contract templates in the Customer Contract Management system.
- Participate in cross-agency system initiatives as requested.
- Provide training on policies and updates related to Transmission Marketing & Sales.
- Set up electronic signatures for agency groups.
- Train staff on electronic signature processes as needed.
- Compile spreadsheet data for management and report at meetings.
- Maintain data quality for systems used in job functions, including SharePoint and CCM.
- Update SharePoint and other databases for document quality management.
- Assist with the development of the dispute resolution process, including document management.
- Act as primary data steward for the Customer Data Management system
Requirements for Program Support Specialist:
- A degree in Business Administration, Management, Accounting, or Computer Science or a related field is preferred.
- 1 year of experience is required with an applicable bachelor’s degree.
- 3 years of experience is required with an applicable associate degree.
- 5 years of experience is required without an applicable degree.
- Experience should be consistent with the specific requirements of program support and coordination and progressively more technical in nature
- 4 years of experience in administrative functions with programs such as Word, PowerPoint, and Outlook.
- 2 years of experience using Microsoft Excel, and Visio.
- 1 year of experience administering SharePoint or similar platform sufficient to produce: site creation, design, layout, creation and maintenance of lists, libraries.
- Notary License/Commission/Appointment for the state of OR or WA is required within 60 days of assignment start. Worker/Employer is responsible for maintaining current license.
