Type: Direct-Hire!
Pay Range: $20.00 – 23.00
Location: Portland, Oregon
- Hybrid: Onsite on Tuesday, Thursday and Friday. WFH on Wednesday.
- Occasional support will be needed for special events outside regular office hours. Work hours will be adjusted to accommodate these events.
Duties and Responsibilities of the Office Administrative Assistant:
- Supporting the congregation and guests: Provides welcoming environment while greeting visitors, members, and service technicians and maintains a professional atmosphere.
- Handling calls and mail: Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and other visitors; collecting incoming mail and distributing it to the appropriate people.
- Updating records: Keeping track of new and current member addresses and phone numbers and updating the church database; maintaining accurate and up-to-date emailing lists; assist with creating and printing documentation of events such as baptisms, baby dedications, church membership, wedding, funerals, etc.; and maintaining the Church master calendar.
- Maintains physical and digital filing systems: Proficient in calendar management, travel coordination, and document preparation. Adept at handling confidential information.
- Communications: Responsible for ongoing church wide communications including Constant Contact and Text in Church administration.
- Social Media & Website Administration: Responsible for maintaining social media platforms and ensuring promotions materials i.e. flyers and posters (requires partnership and communication with graphic designer).
- Organizing events: Ensures preparedness for weekly Worship services. Assists with organizing and coordinating special events.
- Supporting the Senior Pastor & Ministry Leaders: Assists with meeting preparation including Zoom administration, meeting notes, preparing meeting materials, assisting with presentation slides, and meeting follow up.
- All other duties as assigned by Senior Pastor, Associate Pastor & Chief of Staff.
Qualifications/Skills of the Office Administrative Assistant:
- 3+ years of office administrative experience.
- High School diploma required; some college coursework preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong written, verbal, and interpersonal communication skills
- Ability to multi-task, work independently, and adapt to change in a fast-paced environment.
- Eagerness to learn, grow, and collaborate effectively with diverse teams.
- Graphic design skills are a plus, but not required.
- Flexibility to be available for occasional evening and weekend events.
- Ability to be available some evenings and weekends for meetings and/or events.
