Event Planning & Communications Specialist (20hrs week / HYBRID)
Our client is seeking a dedicated Event Planning & Communications Specialist. In this role, you will work for our client, a global leader in digital communications compliance, helping organizations capture, archive, and supervise communication across more than 80 channels. Their team thrives on collaboration, innovation, and creating impactful experiences for both employees and customers. They are seeking a skilled Event Planner & Communications Specialist to partner with their Sr. Manager of Internal Communications & Employer Brand, in planning and executing their 2026 signature internal company event. This hybrid event will bring together ~250 internal leaders for an engaging, TED-style experience early next year. This role is a critical support position for the client’s communications team, ideal for a resourceful and tech-savvy professional who enjoys managing logistics, coordinating stakeholders, and helping create memorable, seamless events. Work with a collaborative, people-focused team that values creativity, organization, and results.
Contract Duration: 6 months
Pay: $35.00 - $45.00/ DOE
Location: Portland, OR. (HYBRID for in-office collaboration, onsite support, and event execution.)

Schedule:
- 3 days/week (Mon/Wed/Thu).
- Part-time (20 hours/week), with the expectation of increased hours closer to event execution.
- Flexible scheduling is available, but consistent core hours for meetings and coordination are required.
Responsibilities of Event Planning & Communications Specialist
Event Planning & Project Management
- Experience with registration systems and hotel/travel coordination a strong plus.
- corporate event planning, vendor management, large-scale internal events
- Assist in managing, planning and execution of annual company signature event.
- Develop and monitor project workback schedules, timelines, deliverables, and milestone tracking.
- Oversee logistics including hotel blocks, travel arrangements, vendor coordination, and onsite management.
- Support registration platforms, inbox monitoring, and troubleshooting attendee needs.
- Package and route presentation materials (e.g., PowerPoint decks) for review and approvals.
- Draft and distribute event communications, including invitations, updates, and attendee instructions.
- Support internal employee communications such as Teams posts and company-wide emails.
- Package digital content for design and distribution.
Requirements of Event Planning & Communications Specialist
- 3 to 5+ years of experience in corporate event planning, communications, or related fields.
- Strong background in corporate conferences, internal events, or agency-side planning.
- Highly tech-savvy with proficiency in Microsoft Office (Excel, Outlook, Word, PowerPoint).
- Exceptional organization, attention to detail, and ability to manage logistics end-to-end.
- Strong written and verbal communication skills; able to draft and edit professional internal communications.
- Resourceful, adaptable, and able to work independently without heavy oversight.
- Comfortable collaborating with multiple stakeholders, including executives.
