Transportation & Conferencing Services Coordinator (HYBRID)
Our client, a leading Pacific Northwest utility provider committed to public service and environmental preservation, is looking for a Transportation & Conferencing Services Coordinator for their Portland, Oregon location. This role plays a key role in supporting multiple service programs within Business Services Operations, including Motor Pool, Commuting, and Conferencing services. This position helps employees stay connected and mobile by managing conference rooms and virtual meeting scheduling, coordinating alternative commuting and parking options, and overseeing GSA vehicles for business travel. With responsibility for over 200 conference rooms, thousands of virtual meetings, four motor pools, and more than 1,200 employees in commuting programs, this role requires a flexible, customer-focused professional dedicated to delivering reliable, high-quality workplace services.
This position is a one-year renewable contract that includes employee benefits!
Pay Rate:$28.00 – $31.25/hr. DOE

Key Responsibilities for Transportation & Conferencing Services Coordinator
Program Support & Technical Expertise
- Serve as primary technical expert and point of contact for assigned areas; provide program guidance in absence of managers.
- Conduct periodic process and training audits, recommending improvements to meet goals and timelines.
- Act as liaison and subject-matter expert on Workplace Services projects and process improvements.
- Train, support, and assess Workplace Services Technicians to ensure program effectiveness.
- Compile and analyze data to support reports, inform management decisions, and improve service delivery.
- Recommend and implement process solutions, tools, and best practices to enhance operational efficiency.
- Maintain and coordinate records, process maps, and procedures to ensure team alignment and knowledge sharing.
- Provide conference room, WebEx, and video conferencing support: scheduling, editing, cancelations, and conflict resolution.
- Troubleshoot technical issues and escalate policy or scheduling conflicts as needed.
- Track room utilization, perform assessments, and maintain up-to-date conference room information.
- Support event coordination, including furniture/equipment setups, WebEx co-hosting, and agency-wide events.
- Manage parking programs: process payroll deductions, create permits, monitor garage access, and conduct audits.
- Register participants for transit, vanpool, and bicycle programs, coordinate with local transit authorities.
- Support Emergency Ride Home programs and provide personalized commuter assistance.
- Maintain transportation records and SharePoint site; provide program usage reports to management.
- Oversee GSA vehicle reservations, maintenance, inspections, fueling, and usage tracking.
- Analyze vehicle usage, damage, and costs; maintain accurate fleet records.
- Ensure accident prevention, vehicle readiness, and professional presentation of motor pool assets.
- Assign vehicles for business travel, provide customer instruction, and coordinate vehicle exchanges.
- Support motor pool operations including visitor assistance, vehicle security, and parking coordination.
Requirements/Qualification for Transportation & Conferencing Services Coordinator
- High school diploma or GED with 10+ years of experience in motor pool, commuting, conferencing, or related workplace services.
- Experience dispatching vehicles, reserving conference rooms or virtual meetings, or supporting commuting/parking programs.
- Basic computer skills and troubleshooting ability.
- Valid U.S. driver’s license required.
- Preferred: Scheduling WebEx/video conferences, SharePoint administration, Visio/process mapping, Microsoft Teams or Skype.
