Senior Administrative Assistant
Our client, a leading Pacific Northwest utility provider committed to public service and environmental preservation, is seeking an Senior Administrative Assistant to support their Portland, Oregon location. This role provides a wide range of professional and confidential administrative and clerical support, including data entry, tracking, calendar coordination, and office operations support. The role will partner closely with managers and staff to help ensure smooth day-to-day operations, coordinate priorities, and maintain accurate documentation and processes across the organization. The ideal candidate is highly organized, detail-oriented, and able to manage multiple responsibilities while providing responsive, professional support in a fast-paced environment.

Key Responsibilities for Senior Administrative Assistant:
- Provide confidential administrative support to managers and team members, including document preparation, correspondence, presentations, and data tracking
- Proactively manage complex Outlook calendars, scheduling meetings, coordinating logistics, and prioritizing competing requests
- Coordinate meetings, events, training sessions, and travel arrangements, including preparing agendas, materials, and meeting notes as needed
- Maintain and update tracking systems, spreadsheets, and reports to ensure timely completion of action items, deliverables, and organizational priorities
- Support personnel-related processes such as onboarding, offboarding, performance tracking, training coordination, and documentation management
- Assist with timekeeping, leave tracking, and related administrative processes to ensure accuracy and compliance with established procedures
- Maintain and update SharePoint sites and organizational records, including document repositories, permissions, and content updates
- Serve as a liaison between teams, departments, and external partners to facilitate communication and coordination
- Coordinate office operations activities including supplies, equipment requests, workspace needs, and general administrative services
- Monitor shared inboxes, communication channels, and request systems to ensure timely responses and follow-through
- Support records management activities, ensuring documentation is organized, accurate, and compliant with established policies
- Assist with reporting, metrics tracking, and preparation of standard templates and documentation as needed
- Provide backup support to other administrative team members and contribute to process improvement and team initiatives
Requirements for Senior Administrative Assistant:
- High school diploma or equivalent is required.
- Associates Degree in Secretarial Science, Administrative Management or related field is preferred.
- 6 years of demonstrated administrative/clerical experience is required.
- 4 or more years of relevant work experience in administrative support functions with Microsoft Office Suite programs such as Word, PowerPoint, Excel, and Outlook (Microsoft Office 2010 proficiency required).
- Intermediate to advanced experience with SharePoint sufficient to: support, manage, edit and maintain site.
