Administrative Assistant – Field Services
Our client, a leading Pacific Northwest utility provider committed to public service and environmental stewardship, is seeking an Administrative Assistant to support their Transmission Field Services team in The Dalles, Oregon. In this role, you will provide confidential administrative and operational support to district leadership and field staff, helping coordinate daily activities across a team responsible for maintaining the region’s power transmission infrastructure. This position supports two district teams and plays an important role in keeping operations organized and running efficiently. Responsibilities include coordinating communications, maintaining documentation, supporting data tracking and reporting, and partnering with other Field Clerks and support teams to ensure priorities and projects stay on track.

Pay Range: $30.00 – 34.00/hr., DOE
Location: The Dalles, Oregon – 100% ONSITE
Key Responsibilities for Administrative Assistant:
- Provide confidential administrative and clerical support to managers and staff, including preparing correspondence, maintaining documentation, and supporting daily office operations.
- Serve as a point of contact for visitors, phone calls, and general inquiries by greeting guests, answering routine questions, and directing requests to appropriate personnel.
- Prepare, proofread, and maintain documents, spreadsheets, presentations, and reports using Microsoft Office tools (Word, Excel, PowerPoint) and Adobe Acrobat.
- Coordinate meetings, appointments, and events by managing Outlook calendars, scheduling conference rooms, preparing agendas and materials, and recording meeting notes when needed.
- Maintain tracking systems for action items, projects, and administrative activities to ensure timely completion of assignments and adherence to organizational priorities.
- Support internal communication and collaboration by maintaining SharePoint sites, posting documents, and coordinating information flow across teams and leadership.
- Assist with personnel and administrative processes such as recognition materials, training coordination, documentation tracking, and performance review scheduling using systems such as Workday.
- Coordinate travel arrangements and related documentation for staff using BPA travel systems (Concur), including preparing travel authorizations and processing travel vouchers.
- Support timekeeping and attendance processes by reviewing time entries, maintaining leave calendars, and coordinating with payroll systems and organizational policies.
- Serve as a liaison with internal support groups including HR, IT, Security, Facilities, Safety, and administrative services to coordinate requests and support operational needs.
- Assist with procurement and payment processes, including reviewing purchase card documentation and supporting transaction tracking and approvals.
- Maintain organizational files, records, and SharePoint content in compliance with records management and information governance requirements.
- Provide backup support to other Administrative Assistants or Field Clerks as needed and participate in administrative team meetings and process improvement initiatives.
Requirements for Administrative Assistant:
- High school diploma or equivalent is required.
- Associates Degree in Office Administration/Management, Business Administration/Management or related field is preferred.
- 6 years of demonstrated administrative/clerical experience is required.
- 4 or more years of relevant work experience in administrative support functions with Microsoft Office Suite programs such as Word, PowerPoint, Excel, and Outlook (Microsoft Office 2010 proficiency required).
- Intermediate to advanced experience with SharePoint sufficient to: support, manage, edit and maintain site.
