Administrative Assistant – Field Operations (Vancouver)
Our client, a leading Pacific Northwest utility provider committed to public service and environmental stewardship, is seeking an Administrative Assistant to support their Transmission Field Services team in Vancouver, Washington. In this role, you will provide professional and confidential administrative support to a large, fast-paced field operations group, assisting with office coordination, documentation, data tracking, and day-to-day administrative functions. You will also collaborate with other administrative staff and serve as a liaison between field teams, leadership, and support groups to help ensure smooth and efficient operations.

Pay Range: $32.50 – 35.50/hr., DOE
Location: Vancouver, Washington – HYBRID – 3-days per week onsite

Key Responsibilities for Administrative Assistant:
- Provide confidential administrative and clerical support to managers and staff, including preparing correspondence, maintaining documentation, and supporting daily office operations.
- Serve as a point of contact for visitors, phone calls, and general inquiries by greeting guests, answering routine questions, and directing requests appropriately.
- Prepare, proofread, and maintain documents, spreadsheets, and presentations using Microsoft Office tools (Word, Excel, PowerPoint) and Adobe Acrobat.
- Coordinate meetings, appointments, and events by managing Outlook calendars, scheduling logistics, preparing agendas and materials, and recording and distributing meeting notes as needed.
- Maintain tracking systems for action items, projects, and administrative activities to ensure timely completion and follow-through.
- Support internal communication and collaboration by maintaining SharePoint sites, posting content, and coordinating information flow across teams and leadership.
- Assist with personnel-related administrative processes including training tracking, documentation management, recognition materials, and performance review coordination.
- Coordinate travel arrangements and related documentation, including authorizations and reimbursements, using internal travel systems.
- Support timekeeping and attendance processes by reviewing time entries, maintaining leave records, and coordinating with payroll systems.
- Serve as a liaison with internal support teams including HR, IT, Security, Facilities, and other administrative services to coordinate requests and support operational needs.
- Assist with procurement and payment processes, including reviewing purchase documentation and supporting transaction tracking and approvals.
- Maintain organizational files and records in compliance with records management and information governance standards.
- Provide backup administrative support to other team members and participate in team meetings and process improvement initiatives.
- High school diploma or equivalent is required.
- Associates Degree in Office Administration/Management, Business Administration/Management or related field is preferred.
- 6 years of demonstrated administrative/clerical experience is required.
- 4 or more years of relevant work experience in administrative support functions with Microsoft Office Suite programs such as Word, PowerPoint, Excel, and Outlook (Microsoft Office 2010 proficiency required).
- Intermediate to advanced experience with SharePoint sufficient to: support, manage, edit and maintain site.
