Program / Project Support Specialist (Portland, OR.)
Our client, a leading Pacific Northwest utility provider committed to public service and environmental preservation, is looking for a Program Support Specialist for their Portland, Oregon location. This position will provide operational, logistical, and administrative support to a strategic communications and engagement team within a corporate services organization. Supports the development and execution of communication plans and public engagement initiatives, partnering with internal teams and external stakeholders to advance organizational priorities.
This position is a one-year renewable contract that includes employee benefits!
Pay Rate: $38.00 - $42.25/hr. DOE.
Location: Portland, OR.
Hybrid: 2 days/week onsite required.

Key Responsibilities for Program Support Specialist:
- Meeting & Event Support: Coordinate internal and public-facing meetings, including scheduling, logistics, agendas, materials, virtual platforms, and follow-up. Take notes, track action items, and manage attendee lists.
- Communications & Customer Support: Assist with drafting, proofing, and distributing internal and external communications. Support public comment processes and ensure compliance with transparency and engagement requirements.
- Document & Data Management: Maintain team SharePoint sites, repositories, and tracking lists. Manage content updates, permissions, archival, and records in line with organizational policies. Prepare, edit, and reconcile technical materials and presentations.
- Program & Project Support: Track project deliverables, milestones, and risks. Provide status updates, maintain work plans, and recommend corrective actions.
- Administrative & Clerical Support: Manage team inboxes, calendars, and schedules. Greet and assist visitors, handle correspondence, perform general office duties (copying, scanning, filing), and ensure proper handling of confidential materials.
- Collaboration & Participation: Attend and contribute to team, department, and organizational meetings; coordinate with internal stakeholders and support cross-functional initiatives.
Requirements for Program Support Specialist:
- Education & Experience: Bachelor’s or Associate’s in Business, Accounting, Computer Science, or related field preferred. Level 2: Bachelor’s + 5 yrs, Associate’s + 7 yrs, or 9 yrs experience without degree.
- 6+ years administrative/clerical or program/project management experience
- 5+ years with Microsoft Office (Word, PowerPoint, Excel, Outlook).
- Preferred Skills: SharePoint; experience in utilities, public engagement, or Federal Register processes.
- Other Requirements: Valid U.S. driver’s license.
