Our client, a leading Pacific Northwest utility provider committed to public service and environmental preservation, is looking for an Administrative Services Assistant with experience in providing administrative support for programs, projects and overall office functions for their Vancouver, Washington location. This role supports administrative functions tied to contract execution and project delivery, ensuring coordination, consistency, and efficiency across processes and stakeholders. Ideal candidate is detail-oriented, highly responsive, and adaptable, able to operate both independently and collaboratively under tight deadlines.
This position is a one-year renewable contract that includes employee benefits!
Pay Rate: $33.00 - $35.00/hr. DOE.
Location: Vancouver, WA.
Hybrid: 3 days onsite per pay period.

Key Responsibilities for Administrative Services Assistant:
- Manage front-office operations including greeting visitors, handling inquiries, screening calls, and directing requests appropriately.
- Draft, proofread, and manage correspondence, reports, presentations, and documentation; ensure accuracy, consistency, and compliance with internal standards.
- Maintain tracking systems for action items, deadlines, and deliverables; monitor follow-ups and ensure timely completion of tasks.
- Coordinate meetings, prepare agendas and materials, capture and distribute meeting notes, and support logistics for internal and external events.
- Manage incoming and outgoing mail, filing systems, records, and general office operations (scanning, printing, supplies, etc.).
- Maintain and update shared resources such as document repositories, tracking tools, and administrative reference materials.
- Serve as a resource and mentor to administrative staff; provide guidance, delegate tasks, and support process consistency across the team.
- Act as a liaison between leadership, staff, and cross-functional partners to align priorities and ensure smooth information flow.
- Lead or support administrative team meetings, process improvements, and standardization efforts.
- Coordinate onboarding, offboarding, and personnel-related documentation; support HR, IT, facilities, and other operational functions.
- Manage calendars, scheduling, and logistics for meetings, travel, and events, ensuring alignment with priorities and deadlines.
- Track training, compliance requirements, and organizational processes to ensure timely completion and reporting.
- Support reporting, data tracking, and documentation related to team operations, performance, and initiatives.
- Maintain shared systems (e.g., document management platforms, tracking tools) including permissions, records, and compliance with data governance standards.
- Support workflow processes, reporting, and administrative procedures to improve efficiency and organization-wide consistency.
- Assist with event planning, employee recognition activities, and internal communications.
- Provide general administrative, logistical, and project coordination support as needed in a fast-paced, deadline-driven environment.
Requirements for Administrative Services Assistant:
- High school diploma required; Associate degree in Administrative or related field preferred.
- 6+ years of administrative/clerical experience required.
- 4+ years of Microsoft Office (Word, Excel, PowerPoint, Outlook) experience required.
- Intermediate to advanced SharePoint experience (site support, management, and maintenance).
- Strong written and verbal communication skills; attention to detail in proofreading and documentation.
- Valid U.S. driver’s license required.
