Our client, a leading Pacific Northwest utility provider committed to public service and environmental stewardship, is seeking an Administrative Assistant for their Kalispell, Montana location. In this role, you will provide professional and confidential administrative support to field operations leadership and teams across two maintenance locations. Responsibilities include coordinating daily office activities, maintaining documentation and tracking systems, supporting schedules and communications, and serving as a key administrative resource to help keep field operations organized and running efficiently.

Key Responsibilities for Administrative Assistant:
- Provide confidential administrative support to managers and field operations staff, ensuring efficient day-to-day office operations.
- Manage calendars, schedule meetings, coordinate travel, prepare agendas, compile meeting materials, record meeting minutes, and track follow-up actions.
- Prepare, edit, proofread, and maintain correspondence, reports, presentations, spreadsheets, and other business documents using Microsoft Office Suite and Adobe Acrobat.
- Build and maintain SharePoint sites, document repositories, tracking tools, and organizational records.
- Track action items, deadlines, training requirements, personnel activities, and project milestones to support organizational priorities.
- Serve as a liaison between leadership, staff, and internal support departments to coordinate communication, resources, and administrative processes.
- Support employee onboarding, training coordination, recognition programs, performance documentation, and other personnel-related administrative activities.
- Coordinate travel arrangements, expense documentation, and reimbursement processes while ensuring timely completion of required approvals.
- Assist with timekeeping, reporting, interview scheduling, and general office administration, maintaining accuracy and compliance with established procedures.
- Coordinate office resources including equipment requests, office supplies, facilities support, technology requests, and vehicle or asset tracking.
- Support purchasing and expense processes by coordinating documentation, reviewing transactions, and maintaining administrative records.
- Maintain organized records, files, and documentation in accordance with records management, compliance, and information governance requirements.
- Participate in administrative team initiatives focused on process improvement, standardization, and operational efficiency.
- Provide backup administrative support and assist with special projects, employee events, and organizational initiatives as needed.
- High school diploma or equivalent is required.
- Associates Degree in Secretarial Science, Administrative Management or related field is preferred.
- 6 years of demonstrated administrative/clerical experience is required.
- 4 or more years of relevant work experience in administrative support functions with Microsoft Office Suite programs such as Word, PowerPoint, Excel, and Outlook (Microsoft Office 2010 proficiency required).
- Intermediate to advanced experience with SharePoint sufficient to: support, manage, edit and maintain site.
