Administrative Assistant – Field Clerk
Our client, a leading Pacific Northwest utility provider committed to public service and environmental stewardship, is seeking an Administrative Assistant for their Malin, OR location. This role provides comprehensive administrative and confidential support to Operations & Maintenance leadership. You will also provide backup and assistance to other Field Clerks and serve as a key liaison among the organization, work units, and management support staff. This position requires maintaining a strong understanding of organizational priorities, operational issues, and sensitive matters through consistent communication with leadership, frequent interaction with other managers, and regular coordination with internal and external contacts. The role is essential to ensuring effective communication, coordination, and administrative support across the district.

Pay Range: $30.00/hr. to $32.70/hr. DOE

Key Responsibilities for Administrative Assistant:
- Provide comprehensive and confidential administrative support to managers and staff, including correspondence, document preparation, proofreading, meeting coordination, records management, and daily office operations.
- Manage complex calendars and schedules; coordinate meetings, appointments, conferences, interviews, training, visitors, agendas, meeting materials, logistics, and follow-up.
- Serve as a key liaison between managers, employees, departments, and internal/external contacts to facilitate effective communication and collaboration.
- Develop and maintain spreadsheets, presentations, SharePoint sites, project trackers, action-item logs, and organizational records to support accountability and timely completion of assignments.
- Track organizational priorities, projects, deadlines, performance activities, training, personnel actions, and other time-sensitive matters; proactively monitor progress and communicate concerns or delays.
- Coordinate employee and administrative processes, including performance management, onboarding, training, recognition, interviews, documentation, leave, payroll, and employee records.
- Coordinate business travel, including transportation, lodging, rental vehicles, travel documentation, approvals, and expense reimbursement.
- Administer and maintain SharePoint sites, document repositories, calendars, tracking tools, content, and permissions.
- Manage organizational records and files, ensuring accurate documentation, accessibility, confidentiality, and compliance with established policies and procedures.
- Support procurement, purchasing, expense reconciliation, and financial documentation, ensuring accuracy and timely processing.
- Coordinate office resources and services, including equipment, supplies, technology, facilities, printing, and other administrative needs.
- Serve as backup to administrative staff and contribute to team initiatives focused on streamlining processes, resolving issues, improving efficiency, and strengthening administrative operations.
- Coordinate and support organizational events, presentations, employee engagement activities, recognition events, and other special projects.
- High school diploma or equivalent is required.
- Associate’s or Bachelor’s Degree in Office Administration/Management, Business Administration/Management, or a related field is preferred.
- 6 years of demonstrated administrative/clerical experience is required.
- 4 or more years of relevant work experience in administrative support functions with Microsoft Office Suite programs such as Word, PowerPoint, Excel and Outlook.
- Intermediate to advanced skills/experience with SharePoint or a similar system sufficient to support, manage, edit and maintain site.
