Project Coordinator
Our client, a leading Pacific Northwest utility provider committed to public service and environmental preservation, is looking for a Project Coordinator for their Vancouver, Washington location. This position will support project work through the full lifecycle for Substation, Telecommunication, Transmission Lines, Facility and Security type projects that will expand, maintain, and enhance transmission operations. TEPF and TEPS are responsible for the planning, execution, and monitoring of capital projects.

Pay Range: $35.00 – $40.00/HR
Location: Hybrid in Vancouver, WA (Onsite 2-3 days per week)
Key Responsibilities for Project Coordinator:
- Provide support to Project Managers (PMs) by coordinating assigned projects and ensuring alignment with project management methodologies.
- Track and report risks or changes to project scope, funding, or schedule, escalating concerns to appropriate personnel.
- Assist in documenting scope definition, process design requirements, and gap analyses for communication and project management best practices.
- Facilitate written and verbal communication among sponsors, project teams, and inter-project teams.
- Monitor and maintain project schedules, milestones, and budgets, providing updates to PMs and federal staff as needed.
- Coordinate financial review meetings, track Ready for Intended Use (RIU) dates, and assist with change log drafting.
- Manage project documents, workspaces, and compliance with records management standards.
- Organize and facilitate project meetings, including agendas, materials, and action item tracking.
- Plan and coordinate site visits, arranging logistics and preparing required documentation.
- Support work plan management, ensuring accurate updates and prioritization of PM work plan portfolios.
- Forecast and request project resources, coordinating schedules and reporting with internal departments.
- Assist project teams with scope of work documents, statements of work, and other technical or logistical needs.
- Facilitate transitions between outgoing and incoming PMs to ensure continuity.
- Coordinate with external entities, including stakeholders, tribal nations, and government agencies, as required.
- Participate in process improvement efforts, including drafting business rule changes and assisting with Microsoft Project issues.
- Support operational excellence initiatives, including change management, technical presentations, and process framework updates.
Requirements/Qualification for Project Coordinator:
- A bachelor’s degree in engineering, business administration or management, organizational development, computer science, or other related technical discipline is preferred.
- 5 years of experience is required with an applicable bachelor’s degree.
- 7 years of experience is required with a bachelor’s degree not in applicable fields.
- 9 years of experience is required without a degree.
- Experience should include direct work experience in a project coordination/ control capacity, including all aspects of process development and execution. Must be capable of applying a diversified knowledge of principles and practices in assigned technical areas. Requires a working knowledge of automated data systems.
- Demonstrated proficiency using MS Project or similar program (i.e. Primavera) to create, analyze, and manipulate project schedules.
- Demonstrated experience using SharePoint to maintain and create project sites for use and storage of project documents and content.
- Ability to analyze, understand, and effectively document technical data.
- Ability to store, manipulate, and organize large numbers of files and folders using Microsoft Windows networks or other document management programs.
